Reporting directly to the Chief Operating Officer, the Administrative Assistant will be responsible for a variety of administrative and clerical tasks to provide support to the Jordan-Gray management team as well as assisting in daily office needs.
PRIMARY JOB DUTIES
Greeting clients and other Jordan-Gray visitors.
Answer telephone and document clear, concise information.
Distribute post, faxes and messages daily to all team members and ensure adequate inventory of necessary supplies.
Assist in the scheduling and execution of travel arrangements.
Assist the team by filing and managing client data.
Assist the team with the issuance of certificates of insurance.
Manage and coordinate communication with external insurer carriers for progress and appointment meetings.
Assist the executive team with managing carrier and client relationships.
Assist the client service team with monitoring and managing important client claims.
Support client service team track and analyze claims data for key national and middle market accounts.
Assist with roll-out and implementation of company wide data management guidelines.
Maintain confidentiality of clients and client information.
SKILLS | ABILITIES
Superior organizational and time management skills with the ability to set priorities and implement action plans to meet deadlines.
Proficiency in using Microsoft Office (Word, Excel, Project, Outlook).
Exercises a high degree of discretion and judgment in handling confidential matters.
Ability to effectively communicate with clients and all levels within the organization.
Ability to work with limited direction and minimal supervision.
Excellent writing and editorial skills.
Bachelor’s Degree preferred.
Prior office administration experience preferred.
Willingness to learn agency management software.
Must be willing to travel outside of office to complete errands.
