Administrative Assistant

Reporting directly to the Chief Operating Officer, the Administrative Assistant will be responsible for a variety of administrative and clerical tasks to provide support to the Jordan-Gray management team as well as assisting in daily office needs.


  • Greeting clients and other Jordan-Gray visitors.  

  • Answer telephone and document clear, concise information.

  • Distribute post, faxes and messages daily to all team members and ensure adequate inventory of necessary supplies.  

  • Assist in the scheduling and execution of travel arrangements.

  • Assist the team by filing and managing client data.

  • Assist the team with the issuance of certificates of insurance.  

  • Manage and coordinate communication with external insurer carriers for progress and appointment meetings.

  • Assist the executive team with managing carrier and client relationships.

  • Assist the client service team with monitoring and managing important client claims.  

  • Support client service team track and analyze claims data for key national and middle market accounts.

  • Assist with roll-out and implementation of company wide data management guidelines.

  • Maintain confidentiality of clients and client information.  



  • Superior organizational and time management skills with the ability to set priorities and implement action plans to meet deadlines.

  • Proficiency in using Microsoft Office (Word, Excel, Project, Outlook).

  • Exercises a high degree of discretion and judgment in handling confidential matters.  

  • Ability to effectively communicate with clients and all levels within the organization.

  • Ability to work with limited direction and minimal supervision.

  • Excellent writing and editorial skills.  



  • Bachelor’s Degree preferred.

  • Prior office administration experience preferred.

  • Willingness to learn agency management software.  

  • Must be willing to travel outside of office to complete errands.
